The RFP represents the consolidated requirements of two departments: the Global Corporate Solutions (GCS) and the Information Technology Solutions Group (ITS), where both departments manage and support meetings and events.  These services are currently managed separately through established standard operating procedures and practices. The objective of this RFP is to identify how and where synergies may be achieved and possibly explore the consolidation of services from two separate lots as summarized below:
1. Lot A:
GCS Food and Meeting Services (GCSFB) is responsible for managing every aspect of all events conducted at the WBG’s headquarter buildings in Washington, D.C. and Paris offices, as well as off-site venues particularly for its Annual Meetings, which are held in a different country every third year.   GCS manages the Audio Visual Group, which is responsible for the management and operation of audio visual equipment as well as the associated services for Tier 1 meeting spaces to support the technology in order to implement and improve the user experience for customized and large events. GCS Supports customized and often high profile events such as the Annual & Spring Meetings, townhalls and other events where on-site support is needed throughout the event. Services include: Audio reinforcement, audio & video recording, video streaming, video conferencing, presentation support, external live video streaming and digital services for the daily content of more than 70 screens across WBGHQ.

2. Lot B:
The Information and Technology Solutions Group (ITS) is responsible for the provision of information technologies (IT) and services to the WBG line business units. The client base of ITS is over 20,000 WBG staff and consultants in the WBG’s multiple locations. This primary customer group, along with WBG’s external clients, partners and the general public rely on daily access to the network of IT services and global 24/7 support.
The overarching business goal of the Videoconferencing functions at the WBG is to provide high quality of technology service in support of the institution’s development mission. The WBG uses a combination of staff and contractor resources to effectively meet its work program needs. In order to ensure an agile and efficient resource pool, the WBG relies on sourced IT staff on managed time and material to support audio visual, virtual meetings, and videoconferencing services with SLAs.
